How do I restrict Sage 300 CRE data from being viewed by specific people?

Solution

Using the security features contained within the Security Administration area of Sage 300 CRE, you have complete control over the specific tables that Office Connector users can query and update. Read and write access can be enabled or disabled for individual tables by identifying the security roles that should have access to them.

Task Security for ODBC

Office Connector relies on ODBC to read and write information and so the security settings that apply to ODBC will affect what users of Office Connector can or cannot access. A security administrator can follow these steps to grant or deny access to specific tables for selected roles:

  1. Start Sage Desktop
  2. Click the Tools menu and click Security Administration
  3. Under Security Permissions by Type, click Tasks
  4. Navigate to the ODBC node and expand it
  5. Select Read Access or Write Access based on what you are wanting to limit and expand that node
  6. Select a table you wish to restrict
  7. Check the box for each security role that should have access to the data (or un-check the roles that should not have access)
  8. Repeat these steps for each additional table you wish to restrict

Record Security

Record security can be used to restrict access to specific records in tables based on role. This level of security affects all areas of Sage 300 CRE (not just data that would be available via Office Connector). Enabling record-level security can also decrease performance. It is recommended that you seek consulting advice before activating this feature. The record-level security options are found in the following area.

  1. Start Sage Desktop
  2. Click the Tools menu and click Security Administration
  3. Under Security Permissions by Type, click Records
